Privacy Policy

This policy explains what we collect, why, and the controls you have over your data. We try to keep it short, plain, and honest.

What we collect

  • Account info: name, email, password (hashed), workspace name.
  • Usage data: conversations, knowledge-base content, AI Function call logs, and product usage events you generate while using the Service.
  • Technical data: IP addresses, user agent, error logs (kept briefly for debugging).

What we don't do with your data

  • We don't sell your data.
  • We don't use your conversations or knowledge base to train shared AI models. Your data is yours.
  • We don't share data with advertisers.

How we use your data

To deliver the Service: route messages, embed knowledge-base articles, dispatch AI Function webhooks, and send transactional email. We also use aggregate, anonymised usage to improve the product.

Subprocessors

We use a small set of trusted third parties:

  • OpenAI: generates AI replies and embeddings on our behalf under their zero-retention API agreement.
  • AWS / our hosting provider: runs the Service infrastructure.
  • Stripe: processes payments. We never see your card number.
  • Postmark / Resend: delivers transactional email like password-reset links.

Your rights

  • Access, export, or delete your data from the dashboard.
  • Request a Data Processing Agreement (DPA) for GDPR / CCPA via our contact page.
  • Opt out of any non-essential email at any time.

Retention

We keep account data for as long as your account is active. After deletion we purge customer-identifying data within 30 days; aggregate, anonymised analytics may persist longer.

Security

All data is encrypted in transit (TLS 1.2+) and at rest. Passwords are hashed with argon2. Access to production data is restricted, audit-logged, and limited to the minimum required.

Children

Chatmina is not intended for users under 13. We don't knowingly collect data from children.

Changes to this policy

If we change this policy in a way that affects you, we'll notify you by email or in-app at least 30 days before it takes effect.
